Ustaad-X Privacy Policy

Ustaad-X provides syllabus-based learning, AI-assisted tutoring, study progress tools, and a marketplace for connecting students with human tutors. This policy describes information processed by the Ustaad-X website and Android application (together, the “Service”).

Information we process

• Account information: name, email address, account role, and a password stored as a one-way hash. Guardian accounts may provide a student email address to establish a guardian link.
• Study information: academic track, grade or study stage, board or school system, exam session, selected courses, study preferences, lesson activity, answers, results, and learning progress.
• Service communications and content: questions and prompts sent to tutoring features, tutor booking details and notes, reviews, safeguarding reports, and content or profile information submitted by tutors.
• Optional files and audio: files or images you choose to attach, tutor profile images, and tutor voice-consent or sample recordings when those optional tutor tools are used. The Android app requests microphone access only when you use a microphone feature.
• Technical and security information: session cookies, request and error information, and rate-limit or abuse-prevention data needed to operate and protect the Service.

Do not submit payment-card details, government identification numbers, precise location, or unrelated sensitive personal information in learning prompts, tutor notes, or uploaded files.

How we use information

We use information to create and secure accounts; provide courses, tutoring, assessments, narration, progress tracking, safeguarding, and bookings; connect a student with a selected tutor; respond to support or deletion requests; prevent abuse; and maintain and improve the Service.

Service providers and sharing

We use Google Cloud services, including Firestore and related hosting or storage services, to operate the Service. When AI tutoring, grading, explanation, or narration is used, the relevant prompt, answer, or text is sent to OpenAI to provide that feature. Live audio tutoring is optional and disabled by default; if enabled and started by a user, audio is exchanged with the selected AI provider. Provider processing is subject to that provider’s applicable terms and privacy practices.

Information is shared with a guardian or human tutor only when needed for the account link, a booking, or the requested tutoring service. External meeting links and third-party learning resources are governed by their own providers’ policies. We do not sell personal information or use it for third-party advertising.

Children and guardians

The Service is designed for secondary and higher-secondary learning and may be used by teenagers, adult learners, guardians, and tutors. A student may provide a guardian’s email address for account linking. We do not knowingly ask children under 13 to create accounts. A parent or guardian who believes a child under 13 has provided personal information should contact us using the details below so we can review the request and take appropriate action.

Retention and security

We retain account, study, and service records while an account is active and for as long as reasonably necessary to provide the Service, meet legal obligations, resolve disputes, and protect the Service. Passwords are stored as one-way hashes. Data is transmitted over HTTPS, and access to account information is restricted by application permissions. No online service can guarantee absolute security.

Your choices and account deletion

You may request access, correction, or deletion of your Ustaad-X account and associated personal information by emailing jalaljanjua88@gmail.com from the email address associated with the account. Include “account deletion” in the subject. Do not include your password. We will verify the request and normally complete deletion within 30 days. We may retain limited information where required by law, for security and fraud prevention, or to resolve outstanding disputes; we will explain any applicable exception. A guardian may submit a request on behalf of a linked student and may be asked to verify their authority.

Changes and contact
